Job Summary
The Receptionist and Office Coordinator will be the first point of contact for Stonehage Fleming Group in Zurich, managing all incoming calls and visitors, and assisting with local facilities and operations. This role requires strong communication and organizational skills, with a focus on providing excellent client service.
Key Responsibilities
- Manage the reception area, including answering phone calls, greeting clients and visitors, and maintaining a clean and tidy environment.
- Coordinate video conferences and conference calls with different offices.
- Responsible for office presentation, appearance, and desk moves.
- Ensure smooth operation of all office facilities, including ad-hoc office repairs and maintenance.
- Liaise with the landlord and managing agent on any problems or issues that may arise.
- Coordinate in-house events and client visits, and arrange outside functions.
- Organize and provide refreshments, breakfast, lunches, and apéros for meetings and visitors.
- Maintain kitchen stocks and ensure the kitchen is clean and tidy.
Requirements
- Minimum high school diploma.
- Minimum 5 years of previous relevant work experience.
- A secretarial certificate or diploma would be advantageous.
- Experience in hospitality would be advantageous.
- Perfectly fluent in English and German; French is an asset.
- Proficient in all MS Office Packages.
