We seek an experienced Operations Support & Office Manager to play a crucial role in office operations and support our leadership team. This part-time position suits a proactive individual seeking a supportive and dynamic work environment. It's ideal for ambitious Business Administration students or professionals looking to balance work with family commitments.
Working closely with the Head of Finance & Operations and the rest of the leadership team, you'll deal with various tasks enabling daily business operations and project scalability. You'll be responsible for office operations in Zurich, ensuring efficient management of supplies, equipment, and infrastructure.
Key Responsibilities- Evaluate and optimize office processes, including supply chain management and equipment maintenance.
- Support the Head of Finance & Operations and C-level executives with organizational and administrative tasks.
- Assist with internal and external reporting, manage payments, and handle invoicing efficiently.
- Contribute to HR activities, including recruiting, onboarding, offboarding, payslips, and employee reimbursements.
- Provide general project support across different teams, promoting collaboration and communication.
- Arrange business travel and organize internal and external events, ensuring seamless logistics.
- Assist C-level executives with email management and calendar scheduling to maximize their productivity.
- Help with legal documentation and compliance matters as required.
- You should have a strong entrepreneurial mindset, excellent teamwork skills, and a passion for growth within a scaling company.
- A broad interest in all responsibilities mentioned above, with a willingness to take ownership and a 'figure it out' approach.
- Excellent organization, attention to detail, and time management skills are essential for this role.
- A proactive and independent self-starter, with the initiative to streamline office operations and improve efficiency.
- Prior experience in office administration, finance operations, HR, or related fields is beneficial, but motivated students or individuals looking for part-time work are also encouraged to apply.
- Excellent communication and presentation skills in English, with proficiency in German.
- An estimated salary range of CHF 50,000 - 65,000 per year, depending on experience and qualifications.
