Key Responsibilities

In this role, you will be responsible for overseeing the export logistics and shipping services for Sotheby's Switzerland. This includes managing internal and external communication, coordinating with clients, and ensuring compliance with all relevant regulations.

Key Responsibilities

  • Manage the administrative and operative procedures of the Shipping Department for Sotheby's Geneva.
  • Coordinate with clients for various purposes, including Shipping, Presale, Postsale, and Client Service requirements.
  • Input and report on export figures for Switzerland.
  • Prepare and file paperwork, including Temporary Export/Import regulations.
  • Liaise with the Finance Department concerning VAT refunds for purchased items.
  • Maintain constructive relationships with other shipping departments worldwide.
  • Conduct quality surveys with shippers.

SAP and Invoice Procurement

  • Act as Central Purchasing Coordinator (CPC) for the Shipping Department and Operations Geneva.
  • Produce invoices and shipping quotes for re-billable charges and services.
  • Procure invoices in SAP as required.
  • Ensure due diligence in security matters.
  • Provide support for SAP procedures to administrative and shipping departments in EMEA/US.
  • Attend training courses as required.
  • Manage ad-hoc projects.

Requirements

  • Federal Certificate of Vocational Education and Training (CFC) of Commerce, Forwarding Merchant.
  • Spoken and written English and French is a must; any other languages is a plus.
  • Proven experience in a position in direct contact with clients, ideally in a shipping company, a luxury company or auction house.
  • Strong knowledge of shipping logistics, including packing solutions, means of transportation, international regulations, and customs.
  • Passion for client service with an operationally-minded and an appetite for technology.
  • Excellent written and verbal communication skills.
  • IT literate, familiar with financial databases and able to learn and understand new systems quickly.
  • Team player who brings enthusiasm and energy to the task at hand.
  • Able to prioritize workload and solve problems independently.
  • Resilience and ability to deal with challenges whilst taking a proactive and flexible approach to ensure exceptional standards of service are always maintained.
