Job Description

In this role, you will be responsible for managing export logistics, shipping services, and compliance documentation activities for Sotheby's Switzerland.

  • You will oversee the administrative and operative procedures of the Shipping Department in Geneva;
  • Manage internal and external communication, ensuring seamless interaction with clients, colleagues, and stakeholders;
  • Collaborate with clients on various matters related to Shipping, Presale, Postsale, and Client Service requirements;
  • Input and report data on export figures for Switzerland, providing valuable insights for business growth;
  • Prepare and file necessary paperwork, adhering to international regulations and standards;
  • Liaise with the Finance Department to facilitate VAT refunds and ensure accurate reporting;
  • Maintain effective relationships with other shipping departments worldwide, promoting collaboration and best practices;
  • Conduct quality surveys and maintain shipper contacts, driving continuous improvement and excellence;
SAP and Invoice Procurement

You will serve as the Central Purchasing Coordinator (CPC) for the Shipping Department and Operations Geneva, handling tasks such as:

  • Type and produce invoices and shipping quotes for re-billable charges and services;
  • Procure invoices in SAP as required, ensuring timely and accurate processing;
  • Ensure due diligence in security matters, maintaining the highest standards of integrity;
  • Provide support for SAP procedures to administrative and shipping departments in EMEA/US, fostering knowledge sharing and collaboration;
  • Attend training courses as needed, enhancing your skills and expertise;
  • Undertake ad-hoc project management responsibilities, demonstrating flexibility and adaptability.
Skills and Qualifications

To succeed in this role, you will require:

  • A Federal Certificate of Vocational Education and Training (CFC) in Commerce, Forwarding Merchant, or a related field;
  • Proficiency in spoken and written English and French, with additional languages being an asset;
  • Proven experience in client-facing roles, preferably in shipping, luxury, or auction houses;
  • Strong knowledge of shipping logistics, including packing solutions, transportation modes, international regulations, and customs;
  • A passion for client service, operational efficiency, and technology adoption;
  • Excellent written and verbal communication skills, with the ability to articulate complex ideas effectively;
  • IT literacy, familiarity with financial databases, and a willingness to learn new systems quickly;
  • A team-oriented mindset, bringing enthusiasm and energy to your work;
  • The ability to prioritize workload, solve problems independently, and maintain resilience in the face of challenges.
