As an Office Space Coordinator Lead, you will play a crucial role in ensuring the efficient allocation of office resources and seamless coordination with stakeholders. Your primary responsibility will be to optimize space utilization through professional collaboration and alignment with business needs.

We offer a competitive salary of $65,000 - $75,000 per annum, commensurate with experience, plus benefits.

Job Description:
  • You will ensure that all office spaces are allocated efficiently, aligning with business objectives and maximizing productivity.
  • Professionally manage front desk services, including visitor registration, access control, and parking management.
  • Announce visitors promptly and handle phone calls professionally in multiple languages.
  • You will address emails and FM tickets within 24 hours and manage incoming and outgoing mail, courier services, and parcel distribution efficiently.
  • Oversee visitor registration, access control, and parking management, including badge handling and garage exit tickets.
  • Support project documentation, meeting organization, and assist with future project implementations.
  • You will assess and plan office space allocation in collaboration with supervisors and department heads, developing and presenting proposals for optimal space placement and group/department allocations.
  • Coordinate office moves, including preparing infrastructure, obtaining service quotes, and liaising with FM and IT teams.
  • You will monitor and report on space utilization and future needs.
  • You may be required to substitute for team members as needed and assist the Facility Manager and team in various tasks.
Required Skills and Qualifications:
  • An apprenticeship in office administration or an equivalent field.
  • A minimum of 5-10 years of experience in the facility environment.
  • Proven expertise in managing office fit-out or expansion projects and in space management, facilities coordination, or related fields, ensuring smooth transitions.
  • A service and team-oriented, flexible, and reliable working style with strong organizational skills.
  • Excellent communication and presentation skills and proficiency in Office365, especially PowerPoint.
  • Strong analytical skills for space planning and needs assessment, along with a problem-solving mindset and attention to detail.
  • Friendly, trustworthy, and able to work collaboratively with diverse teams and stakeholders.
  • Fluency in German and English.
