We are seeking a highly organized and dynamic Executive Assistant to provide full secretarial and administrative support to the Chairman and the team.

A trustworthy, confidential, and loyal approach are essential attributes to succeed in this role.

Key responsibilities include:

  • Conducting research and preparing briefing documents or presentations for business initiatives, internal/external meetings, and travel.
  • Acting as the first point of contact for internal and external stakeholders, managing communications and correspondence.
  • Organizing and prioritizing executive tasks to ensure deadlines are met.
  • Assisting with the coordination and tracking of key projects and initiatives.
  • Collaborating with various departments to ensure that projects and deadlines are managed efficiently.
  • Managing calendars, including scheduling meetings, coordinating travel arrangements, and organizing itineraries.
  • Preparing and processing expense reports, travel bookings, and ensuring necessary approvals are obtained.
  • Maintaining and organizing documentation, ensuring confidentiality and accuracy.
  • Managing the filing system, both physical and digital, to ensure data is accessible and secure.

Requirements:

  • Previous experience of supporting senior executives and working with leadership teams is a must.
  • Fluency in English is required. Proficiency in French is desirable.
  • Comfortable using MS Office Suite. Familiarity with project management software and digital collaboration tools is desirable.
  • Exceptional organizational skills with the ability to handle multiple tasks effectively.
  • Strong interpersonal and communication skills, with a professional demeanor and the ability to interact with high-profile individuals.
  • High attention to detail and accuracy, especially in handling confidential information.
  • Problem-solving mindset with the ability to anticipate needs and proactively address issues.
