PURPOSE OF ASSIGNMENT:

The purpose of this individual consultancy is to support the Digital Workplace Specialist in managing the private sector intranet, collaboration sites, and digital workplace solutions used by UNICEF’s private sector. The consultant will provide a combination of technical guidance and problem-solving assistance to intranet publishers and site owners along with regular monitoring activities. This includes following up with publishers, sending reminders, and offering professional technical support when needed. The consultant will also support the internal communication team in sourcing content for internal channels and following up with teams on content ideas.

SCOPE OF WORK:

- Review and monitor content pages on the Private Sector Intranet to ensure adherence to publishing guidance.
- Conduct regular reviews of tagging of pages, documents, and videos to ensure content is appropriately labelled.
- Continuously monitor collaboration and communication sites, following up with publishers and site owners to address issues, apply global changes, and ensure accuracy.
- Maintain an updated list of publishers and site owners and support the preparation of training sessions.
- Create intranet pages and assist the publishers’ community by addressing and resolving issues.
- Assist in generating regular analytics reports on the usage and adoption of digital workplace solutions.
- Implement and configure digital workplace solutions to meet business requirements.
- Support the internal communications team in organizing engaging meetings and events

Deliverable 1 by: April 2025

- Review communication and collaboration sites to identify any discrepancies or inaccuracies. Work with publishers to correct and train users on how to make corrections.

Deliverable 2 by: May 2025

- Provide technical support to PFP staff globally on the best practices around the digital workplace.

Deliverable 3 by: June 2025

- Provide technical support and assistance in the production and publication of the Pulse newsletter, collaborating with PFP staff to source the most timely and engaging content.

Deliverable 4 by: July 2025

- Collaborate with the Digital Workplace Specialist to enhance the user experience on the intranet.

Deliverable 5 by: August 2025

- Support the design, production, and recording of skill boost sessions.

Deliverable 6 by: September 2025

- Support the PRIME team in the design, development, and production of the in-person PFP Team Week.

Deliverable 7 by: October 2025

- Support the communication by HR to staff globally at PFP on any new procedures and processes.

Deliverable 8 by: November 2025

- Provide technical advice and support to intranet publishers and PFP staff globally.

Deliverable 9 by: December 2025

- Support the KM team in the production and delivery of the Inspire Awards.

Deliverable 10 by: January 2026

- Work with the internal communication team to create engaging content at all staff meetings and through special guest speakers.

Deliverable 11 by: February 2026

- Review communication and collaboration sites and identify any discrepancies or inaccuracies. Work with publishers to correct and train users in how to do so.

Deliverable 12 by: March 2026

- Provide technical advice and support to intranet publishers and PFP staff globally.

To qualify as an advocate for every child you will have…

- A first level university degree in one of the following fields is required: Information Technology, Computer Science, Business Administration, Communications, or a related field.
- A minimum of five years of work experience in public or internal communication, intranet management, and publishing is required.
- Solid experience with Office 365 range of products and SharePoint Online Modern is required.
- Experience with UNICEF, and more particularly with UNICEF intranet and ECM collaboration sites, would be a strong asset.
- Fluency in English is required. Good writing and editing skills in English are required. Fluency in other official UN languages would be an asset.
- Ability to work independently and to meet tight deadlines.
- Familiarity with the work of UNICEF, UN entities, UNICEF National Committees, and/or private sector fundraising would be an asset.

Remarks:

Please indicate your all-inclusive (lump sum) fees against the deliverables listed above, including all associated administrative and travel costs (if applicable), in the cover letter. The office selects the individual based on best value for money.
Payment of professional fees will be based on submission of agreed deliverables. UNICEF reserves the right to withhold payment in case the deliverables submitted are not up to the required standard or in case of delays in submitting the deliverables on the part of the consultant.

Individuals engaged under a consultancy or individual contract will not be considered “staff members” under the Staff Regulations and Rules of the United Nations and UNICEF’s policies and procedures, and will not be entitled to benefits provided therein (such as leave entitlements and medical insurance coverage). Their conditions of service will be governed by their contract and the General Conditions of Contracts for the Services of Consultants and Individual Contractors. Consultants and individual contractors are responsible for determining their tax liabilities and for the payment of any taxes and/or duties, in accordance with local or other applicable laws.

The selected candidate is solely responsible to ensure that the visa (applicable) and health insurance required to perform the duties of the contract are valid for the entire period of the contract. Selected candidates are subject to confirmation of fully-vaccinated status against SARS-CoV-2 (Covid-19) with a World Health Organization (WHO)-endorsed vaccine, which must be met prior to taking up the assignment. It does not apply to consultants who will work remotely and are not expected to work on or visit UNICEF premises, programme delivery locations or directly interact with communities UNICEF works with, nor to travel to perform functions for UNICEF for the duration of their consultancy contracts.
