For our client based in Bern we are looking for an Administrative Assistant (M/F/d)

**Administrative Assistant**:
**Background**:
CSL Behring AG in Bern specializes in the production of drugs for the treatment of immune deficiency states
and immune function disorders, as well as drugs for rhesus prophylaxis and albumin solutions for shock and
burn victims. CSL Behring AG's production facilities are licensed by the Swiss health authorities and by the US
FDA. Annually, therapeutically important proteins are isolated from more than six million liters of human plasma
according to the strictest safety and quality standards and processed into drugs. CSL Behring AG products are
distributed worldwide.

**Task**:

- GRA OpX Bern Site Administrative Assistant
- Global Regulatory Affairs is looking for an Admin Assistant (F/M) who will act as the first point of contact for primarily internal stakeholders, offering administrative support across the department.
- This position will be managed by the existing GRA OpX Head.
a timely and effective manner - from full range of admin operations.
- Proactive mindset and prioritizing skills are essential for this position.

**Responsibilities**:

- Admin Assistant 100%
- Travel bookings for Managers and Teams (SBB, flights, hotels, taxis etc.)
- Distribution Lists management for entire site & individual functions/subgroups
- Open POs on request
- coordinate wet signatures /e-signature process flow
- Business Card ordering and processing for entire site
- Expenses via Concur (support as key user)
- Visitors / Newcomers registration with security
- Back up hosts and site welcome / reception
- Adhoc onsite and offsite events organization (Workshop, Team-Dinners)
- Location scouting, Vendor approvals, POs, attendee lists overview
- I&T orders and ensuring the orders are delivered
- I&T and systems related issues and requests, general questions
- Welcome Day agenda, presentation updates and LM assistance (welcoming on site)
- Order mobile phones and maintain phone lists
- Manage access for visitors (forms, instructions, directions)
- Manage Office Material ordering
- Manage GRA BRN mailbox / postbox
- Site equipment maintenance (fridge, shredder, coffe machine)
- Meeting room bookings and coordination
- Facility Management: Tech or electro issues, defective infrastructure, special requests

**You must have these qualifications**:

- Commercial education
- Related Experience 3 years

**Special Training or Competence**:

- High level of verbal and written English and German
- Professional attitude and appearance with constant can-do approach
- Excellent organizational skills
- Ability to be resourceful and solution oriented
- Strong attention to details
- High flexibility and ability to work under time pressure
- Demonstrated ability of being proactive and service oriented towards internal and external customers
- Time-management, with the ability to prioritize tasks
- Demonstrated ability to tight deadlines and handle different tasks simultaneously
- Work experience as a Receptionist, Front Office Representative or similar role is a plus
- Arriba, Concur, Serrala, Plateau knowledge is a plus
