**The Role**
We are looking for an experienced Executive Assistant to join or Executive search organization. At Korn Ferry, you will provide seamless communication to clients and team members by managing key project deliverables, meeting schedules, travel itineraries (many international), and expense reconciliation. Understand key deliverables, tracking status, and anticipating and resolving any issues that may arise. You will specifically work with 2 global account leaders and a senior client partner, next to external (enterprise) Clients, Project Managers, Graphics Team and Finance Team to ensure flawless execution of business development opportunities, client deliverables, and firm management.
The Executive Assistant provides high-level support to the 3 leaders you work with. Primary responsibilities include:
**General administration**
- Diary and travel management for the Senior Client Partner and his Associate.
- Preparing mailing lists and co-ordinating the sending of the appropriate documentation.
- Monthly expense reports.
- Teaming up with the other assistants on office projects and liaising with colleagues to arrange internal cover.
**Search assignment administration**
- Responsible for all internal administrative work in context with opening, processing, and closing a search assignment including invoicing.
- Ensuring proper document management and database maintenance.
- Supporting the dunning process and acting as contact person for invoice requests from customers.
- Acting as Project Manager to coordinate the entire assignment portfolio and to ensure the delivery in time and with full quality.
**Account Management Support**
- Support in preparation of account plans and activity tracking
**Education, experience, and other qualifications**:
- Relevant bachelor’s degree or equivalent in thinking level or relevant work experience.
- Fluency in both German and English.
- Minimum of five years of relevant work experience as an executive assistant supporting senior leaders in a business environment required, ideally in a professional services firm.
- Demonstrated track record of sound judgment and professionalism with the ability to work with senior level executives across multiple business lines and regions.
- High degree of interpersonal and professional savvy across varying levels of internal management, staff, clients, and associates.
- High level of business acumen; able to make timely decisions and drive to action.
- Strong analytical skills and ability to translate to operational processes.
- Must be able to work independently with little supervision, be detail-oriented, flexible in terms of hours/responsibilities, and able to organize and prioritize multiple deadlines.
- Excellent organizational capabilities, with high degree of prioritization.
- Excellent written and verbal communication skills; customer service focused with excellent phone etiquette.
- Excellent PowerPoint skills with proficiency in the Microsoft Office suite.
- Client management/service experience highly preferred.
- Experience in the talent management field is a plus.
