Public Information Assistant

This position is located in the Communications and Public Mobilization Section of the External Outreach Service (EOS) of the Office of the High Commissioner for Human Rights (OHCHR) in Geneva. The incumbent reports to the Chief of Communications Section.
**Responsibilities**:
Within delegated authority, the Public Information Assistant will be responsible for the following duties:
- Provides specialized assistance in the production and delivery of information communications products and services.
- Researches a broad scope of information sources, printed and electronic; compile and present information for use in the preparation and production of communications products/services including major campaigns and other communications initiatives promoting human rights for external audiences.
- Monitors processes and schedules related to the Unit’s outputs; oversees public information materials in print and electronic form, products, tasks, etc; formats, proofreads and copies documents, controlling draft copies, originals and translations of public information documents into different languages.
- Organizes and coordinates regular briefing requests and presentations for university students, Missions, civil society and the general public on the work of OHCHR; executes special events; participates in the planning and coordination of major exhibits; liaises with relevant departments/agencies.
- Handles administrative coordination in support of special training and other programmes.
- Performs junior photo-librarian functions that include provision of public information and library research services to requesters of photographic materials, and cataloguing/indexing of photographs.
- Oversees the distribution of audio and video materials; ensures the good management of the film/video archives, and the proper safekeeping/preservation of historical audio/visual materials.
- Serves as the online marketing and promotion coordinator by overseeing the day-to-day marketing activities ensuring successful branding techniques; undertakes proactive call and directs mail initiatives to build a client base and nurture relationships; produces and maintains adequate stocks of a wide range of promotional products for distribution at special events and exhibits.
- Assists in the preparation and electronic dissemination of public information products, such as social media postings; prepares, maintains and updates web page, to include drafting and editing content; uploads/downs load audio files and maintains file structure.
- Identifies and prepares new material for inclusion in appropriate web pages by: researching various information sources for relevant material and cross-checking information with author offices as required; identifying, retrieving and downloading pertinent documentation and other information in requisite programming languages for Web format or inserting into database after determining appropriate categorization; editing documents to conform to UN format, structure and style, etc.
- Provides general office support; responds to complex information requests and inquiries; processes, drafts and finalizes correspondence and other communications; assists in the verification of receipt and accuracy of requisite documents, approvals, signatures etc.; sets up and maintains files/records, organizes meetings, monitors deadlines, etc. and coordinates approval and signature from the Chief and staff as requested.
- Coordinates administrative services, including preparing, monitoring and processing various requisitions, service contracts and payment vouchers, coordinating special assignments and related travel authorizations; assisting with all issues of recruitment of staff, consultants and interns; assisting with the Section's budget; following-up on budgetary, personnel and other administrative actions concerning Section's projects, etc.
- Provides guidance and training to junior staff.
- Performs other duties as assigned.

Education
High school diploma or equivalent.
Work Experience
At least 7 years of experience in public communication, international broadcasting or related area is required.
