**Office Manager and Executive Assistant H/F**
Disponible de suite pour un poste temporaire
**DESCRIPTION DE LA MISSION**:
**En tant qu'Executive Assistant**:
? Gérer l'agenda de la MD au quotidien,
? Organiser et planifier les réunions,
? Réceptionner et filtrer les appels,
? Gérer le flux d'information de manière opportune et précise,
? Organiser les déplacements professionnels ; réserver les billets d'avion ou de train ainsi que les hôtels & préparer l'itinéraire de voyage,
? Réserver les restaurants pour les déjeuners d'affaires,
? Traiter et enregistrer les notes de frais dans le système Concur,
? Agir en tant que point de contact entre la MD et les autres employés,
? Réceptionner et traiter le courrier de manière confidentielle,
? Assister sur diverses tâches administratives.
**En tant qu'Office Manager**:
? Être la personne de contact pour l'entretien, le courrier, les fournitures, les factures et les courses diverses,
? Accueillir et rediriger les visiteurs en physique ou par téléphone (clients, fournisseurs, invités),
? Réserver les transports et / ou l'hébergement pour l'équipe et les invités,
? Organiser les évènements internes et externes selon les standards de l'entreprise si nécessaire en faisant la liaison avec le département « Events & Marketing »,
? Coordonner les évènements sur place & s'assurer du bon déroulement de ceux-ci,
? Négocier et gérer les contrats fournisseurs & prestataires de services,
? Gérer les commandes de papeterie, mobilier et autres fournitures & gérer les stocks,
? Réceptionner, traiter et veiller au paiement des factures fournisseurs en collaboration avec la Fiduciaire,
? Participer à la gestion et au contrôle du budget dépenses,
? Rédiger et diffuser les courriers, attestations, rapports et mémos internes,
? Coordonner, mettre en liaison et maintenir les procédures du groupe au sein de l'entreprise (IT, HR, Health & Security and Compliance),
? Assister dans le processus d'intégration des nouveaux collaborateurs,
? Orienter le nouveau personnel,
? Préparer et maintenir le calendrier des vacances,
? Traiter la correspondance, les plaintes et les questions,
**PROFIL ATTENDU**:
? Diplôme d'Assistante de Direction ou formation équivalente,
? Expérience de minimum 4 ans dans un rôle similaire,
? Parfaite maîtrise du français avec une très bonne capacité rédactionnelle et un excellent niveau d'orthographe,
? Niveau d'anglais minimum C1,
? Polyvalent(e), proactif(ve) et autonome,
? Sens de l'organisation prononcé,
? Goût du détail et des tâches administratives,
? Soucieux(se) du respect des délais,
? Personnalité mature et affirmée tout en sachant être diplomate,
