For a well-known international client we are looking for a **HR team assistant** near **Basel Switzerland**. His company is a key player in the **pharma industry **and committed to excellence and fostering a collaborative and supportive work environment. We are currently seeking a dedicated HR Team Assistant to contribute to our thriving HR department.
**Responsibilities**:
As an HR Team Assistant, you will play a vital role in supporting our Human Resources Leadership Team (HRLT) members. Your responsibilities will be:
- Providing comprehensive secretarial and administrative support to HRLT members, ensuring the highest level of confidentiality, discretion, professionalism, and flexibility.
- Managing diaries for HRLT members, which includes organizing meetings, interviews, calls, and handling any necessary rescheduling.
- Preparing and submitting travel expense reports.
- Creating Purchase Requisitions and Purchase Orders, tracking invoices and costs against the PO, and handling vendor creation and file maintenance.
- Providing general HR administrative support to the department as required.
- Administering the HR intranet page and ensuring it is up-to-date and user-friendly.
- Using independent judgment and discretion to perform additional administrative duties and support the Leadership Team within defined policies and practices.
- Setting up and administering SharePoint pages and Teams Channel pages.
- Coordinating onboarding processes for new team members.
- Assisting with duties for the HR digital team and participating in various HR projects.
**Requirements**:
- Fluent in English and German, both written and verbal.
- 0-4 years of relevant experience in an administrative or secretarial role, preferably within an HR department.
- Demonstrated ability to handle confidential information with the utmost discretion.
- Excellent organizational and time management skills, with the ability to prioritize tasks effectively.
- Proficiency in Microsoft Office Suite, particularly in SharePoint and Teams.
- Strong communication and interpersonal skills, capable of working collaboratively in a team environment.
- Proactive, self-motivated, and capable of working independently with mínimal supervision.
- Flexibility and adaptability in a dynamic work environment.
