Reporting Lines & Interactions
The Arts and Culture Coordinator will report to the Head of Arts and Culture. Internal interactions will be with: Arts and Culture lead, Design, Events, Logistics, Finance, Marketing and Comms teams. External interactions will be with: Artists, Production houses, Agents, Cultural Institutions, Arts Festivals,
Breakdown of main responsibilities
The Arts & Culture Coordinator is responsible for handling all administrative tasks relating to the Arts and Culture activities, events and programmes.
Key responsibilities include:
- Coordination of Artist & Production contracts- Building excellent relations with artists/agents- Coordinating artist accommodation and travel- General administrative support to ensure the planning of each event is efficient.- 50% Coordination and admin support- 30% Events planning and logistics- 20% Project management- Coordination of contacting, including negotiation support, issuance of contract, and invoicing- Responsible for the efficient tracking of event and project specific budgets working closely with the Head of Arts and Culture- Act as a point of contact within the Arts and Culture team for all queries and administrative needs for artists and creatives- Liaising with artists/agents/cultural institutions/production companies- Ensure all artists have the appropriate right to work certification and visas for Switzerland and any other countries within which the Forum organises Institutional events.- Organise accommodation for artists, creatives, and staff/crew, and develop strong relationships- Prepare and maintain welcome materials and event handbooks for artists, creatives, and staff/crew- Coordinate event logistics and operational requirements for Arts & Culture led events- Ensure accurate and updated reporting for all Arts & Culture projects and initiatives- Ensure that all project content (web and digital) is accurate and up-to-date, and support the curation of the project community on the Forum’s digital platforms- Undertake other administrative tasks as required.
Preferred Requirements and Experience- Experience (ideally 2+ years) in arts administration- Experience in contract negotiation- Excellent oral and written communication skills in English, with a friendly, approachable and professional manner- Strong organizational skills- Passionate about the arts ideally with specific knowledge of Visual and Performing Arts- High level of computer literacy, including majority of Microsoft office products (Excel/Word etc)- Proven ability to deliver objectives and work consistently under pressure- Excellent proof-reading skills and attention to detail
