**Personal Assistant to OBU EUCAN Franchise Heads and Commercial Head - WESE & CEEBA**

In this role you will support the OBU EUCAN Franchise Heads and the Commercial Head WESE & CEEBA with project management and administrative processes within Regional team of the Oncology Business Unit

your assigned Business Unit Respiratory & Immunology (R&I).

In addition to that you are responsible for a variety of secretarial and administrative tasks in collaboration with other assistants in the team. Development within and in parallel to the role is encouraged and actively supported. You will be reporting to the Commercial Head WESE & CEEBA and coached by the OBU EUCAN Franchise Heads.

**Your main responsibilities**:

- Administrative support in budget control processes in the SAP tool and creating allocated purchase orders (PO)
- Assistance to calendar Management (invites/scheduling/ ongoing clash management)
- Support of meetings requiring especial assistance (IT support, calendar invite management, preparation of pre reads, confirming presenters, distributing agendas and minutes, etc.)
- Organizing, coordinating and managing internal events and projects
- Providing support in the preparation of sponsorship and service contracts in compliance with the budget as well as in the drafting of agreements.
- Organizing and coordinating international congresses (booking flights, hotels and restaurants, handling registrations, maintaining a regular exchange with participants to keep them informed and coordinating on-site events and contracts)
- Assistance to execute travel/visa arrangements and Expense Reports
- Performing general secretarial tasks and dealing with correspondence in German, French and English in an independent way or in accordance with a given template

**Your experience**:

- Proven experience in executive assistance roles
- Independent, communicative and flexible personality, high self-motivation
- Proactive, outgoing and team-oriented
- Coordination and organization talent
- Experience or training in Event Management
- Good PC knowledge (MS Office Palette)
- SAP user skills
- Fluency in English and German is essential, any additional local language (French, Italian) is a plus
