**Position summary**

Located in the centre of Zug (Switzerland) our Company is focused on the trading of raw materials (mainly coal). To complete our team, and ensure efficient office management, we are looking for an **Office/Communication Manager**, taking care of the following tasks:
**Your responsibilities**:
Supervise and ensure office functioning independently including:

- liaising with local office suppliers / technicians, office supply management;
- document drafting and translation from/to German, English, Russian;
- Market data subscriptions follow up (from documentary checking to deadlines monitoring and invoice handling) + Data management;
- petty cash management;
- Prepare and edit high-quality presentations, position papers, fact sheets, reports, report consolidation, etc.;
- Organisation and planning of appointments, meetings, events and conferences, establishing agendas basis management basic input;
- Conference, hotels, reservation, flight, restaurant booking, participation to events (booking/cancellation/refund);
- Facilitate internal communication initiatives to keep employees informed and engaged;
- Cross-cultural business communication and correspondence + formal documents (in English, German, Russian);
- Archive management and organisation
- Assist management and HR in:

- business expense management and reporting
- credit card invoice checking
- vacation and working hours monitoring, registration, and reporting
- welcoming and assisting new team members with administration tasks, including interaction with local authorities concerning permits, tax at source, registrations issues, etc.

Perform all other office tasks, including general support to the company’s management and colleagues.

**What makes you successful**:

- several years of experience in office administration, carried out in Switzerland, preferably for a trading company
- academic education
- Knowledge of local administration practices and regulations
- Languages:
Russian (native)

knowledge of culture and business environment to work with documentation and networks in Russian, to maintain trust and more effective communication with Russian speaking stakeholders and partners (e.g. in Kazakhstan, Latvia, Russia)

German: fluent (written and verbal)

with experience in the DACH environment to work with documentation, authorities, networks and events and in German (locally in Switzerland and in Germany

English: fluent (written and verbal)
- Knowledge and experience of the Asian work culture and communication tactics
- Cross-cultural business communication
- Data management
- Other Skills:

Excellent written and oral communication skills

Strong attention to detail

Strong organizational skills

Knowledge of Microsoft programs: Excel, Word, Outlook, PowerPoint, etc.

Knowledge of Microsoft Dynamics NAV / Business Central will be a plus
