Medical Project Coordinator

Job purpose- Coordination, organization and handling of education / training activities for the medical department or therapeutic area as project owner, but with scientific strategic and tactical support of medical lead/manager, medical advisor or MSL

(Medical Science Liaison)- Support and advice for internal / external customers in administrative and operational tasks within the team
- Supervision of new hires
- Super-User-role in Janssen-systems
- Driving digital transformation of MAF (Medical Affairs) activities
- Job responsibilities- Organization and logístical support (briefing, planning and conception, approval process in the CRM (Customer Relationship Management) tool, including contract management, budget, and timeline responsibility for medical/scientific educational

events (including congresses, medical education events such as workshops and symposia) according to internal and external guidelines and laws, as project owner- Advisory Board Management (logistics such as location, catering, travel arrangements and contract (ICD (International Contracts Database), honoraria management, ToV (Transfer of Value), HPR (Healthcare Payment Review)
- Regular exchange with the Project Owner (Medical Advisor / MSL (Medical Science Liaison) on the current project status, timelines/deadlines and budget overview for medical education events and cross functional communication of the respective

events- Primary contact for HCPs (Healthcare Professional) with organizational questions and concerns at the events above-mentioned
- Contact person for agencies (e.g. World Events, AMEX, C2) to ensure technical equipment and / or organizational support on site
- Payment processes to vendors and HCPs (eMarketplace, HPR, initiation of honoraria or fees payable), accruals, new vendor process
- Archiving as needed by local SOPs (Standard Operating Procedure) and regulations
- Job Description- Active participation in sharing best practice sessions for medical associates in order

to discuss / improve processes, to ensure comparable working methods and to
- ensure back-ups and mutual support between medical associates in other
- therapeutic areas- Processing of payments to suppliers/service providers via eMarketplace, HPR or

manual bank transfers for the respective Medical TA (Therapeutic Area) team- Support with the onboarding of new employees in the team
- Super user role or process champion for one of the systems or processes

supervised when required- Acts as coordinator and driver of digital MAF activities
- Contract Management

**Qualifications**:
Professional Education
Minimum 1 - 2 years of experience working
Experience in dealing with external customers
Ideally, experience in organizing and managing events
Understanding of the Healthcare environment and
pharmaceutical industry considered an advantage
Fluency in English and German required, French considered an advantage
High degree of solution and service orientation
Effective collaboration and strong networking skills
Effective communicator
