The Role

The role will increase Christie’s business in Switzerland by providing effective administrative and logístical support to specialists visiting the region and events organized in the area. They will also be responsible for business-getting with emphasis on long-term client development and high value property reporting to the Managing Director, Geneva.

Event Management

Specific duties & responsibilities will include but are not limited to
- Uphold Christie’s Core Values of Teamwork, Passionate Expertise, Exceptional Client Service, Business Judgment Integrity and Respect. Demonstrate daily the key behaviors of these values
- Work closely with regional Managing Director and specialist departments to conceptualize, plan and execute event strategies for sale related events
- Provide event support for all events (set-up to break down)
- Work with departments on event format and invitations
- Partner with internal stakeholders on event coordination and communication
- Compile guests lists
- Create event invitation on the portal (e-vite, hardcopies)
- Liaise with caterer on menu and logistics
- Obtain estimates and approvals and track expenditures with regional business manager
- Collate, review, and code bills for all purchase orders associated with managed events (manage budgets, manage purchase order/invoice)
- Supervise and manage outside vendors including catering, floral, venues, valet, photographer, graphic artists, internal staff and volunteers for each event
- Develop and maintain preferred vendor relationships and continuously ensure our providers meet industry and Christie’s standards
- Undertake periodic contract reviews with existing vendors
- Mange RSVP’s for all events
- Contribute to KPIs and report via Dashboard
- Attend events, exhibitions, art fairs locally and domestically
- Meet clients on-site and off-site
- Other duties as assigned by manager

Business Coordination

Specific duties & responsibilities will include but are not limited to
- Review client lists
- Coordinate and deliver valuations for multiple purposes
- Participate in specialist’s meetings
- Coordinate shipping and consignment
- Respond to any other client enquiries
- Update necrology daily and flag important collection
- Update COS account daily
- Responsible for internal events (Christmas/summer parties)
- Assist the MD in various Business development presentations and analysis
- Master’s degree: art & business - preferable but not essential, or demonstrable industry experience
- Strong working knowledge of Microsoft Excel, Work, Outlook and PowerPoint Project management
- Passion for event planning and strategy
- Excellent communication and interpersonal skills, including superior written and spoken communication in French and English
- Superior client service skills. Able to engage with a range of clients from outside vendors to top clients, senior management as well as peers with consistency and grace
- Demonstrated ability to multi-task and prioritize
- Ability to work within a team environment
- Creative, hardworking, proactive and decisive
- Strong follow-up skills with attention to detail
- Able to remain calm under pressure and prioritize demands
- A strong network e.g. Group MAMCO Nextgen, Womanity Gala, Women Business Society
- Strong skills in Object Finder, COS and Skipster with potential to become a superuser
