**We are seeking**:
A competent and motivated personality to support the Board Member and Head of Octapharma's three International Business Units (IBUs) in administrative and business matters. With your organizational skills you will make an important contribution to the planning and execution of local/international meetings and various tasks that are important for the smooth running and reduction of the administrative workload of the Board Member.

**The job**:

- Provide advanced administrative support for interactions with colleagues at the global and local levels
- Coordinate and schedule numerous key cross-functional business meetings of senior management but also with internal colleagues and external partners
- Responsible for the organization and execution of an international business meeting (requirement: travel abroad twice a year for about 4 days)
- Coordinate complex travel arrangements both domestically and internationally
- Plan and maintain daily calendars in Outlook
- Independently provide the most complex administrative support with a high degree of appropriate independent decision making to drive initiatives forward
- Monitor all deadlines for assigned managers to ensure timely delivery of all projects, presentations, reports, etc.
- Obtain signatures, organize shipping and follow-up on business contracts in a timely manner
- Submission of expense reports and invoices
- Work closely with other functions to ensure that the Board Member has everything he needs for his work
- Assist with agendas, reports, consolidating presentations, action items, sending follow-up communications, and other
- Develop and maintain highly useful administrative systems, reports and formats
- Developing and maintaining a confidential, centralized filing system for contract management
- Manage all logístical tasks in collaboration with internal colleagues and external vendors
- Commercial Degree
- Minimum 3 plus years of related professional experience supporting senior-level management
- High customer service mentality
- Exceptional organizational skills, reliable and loyal
- Excellent interpersonal, written and oral communications skills within the organization and with external partners
- Ability to multitask and be flexible to work assignments
- Proactive attitude, independent and flexible
- High proficiency with Microsoft Office software (Word, Excel, Power Point)
- Fluent in English and German
- Must be able to travel locally and worldwide for up to one week twice a year
