**About the role.** We are currently looking for an
**OFFICE MANAGER (80-100%)**
to work as part of our small intercultural and interdisciplinary team in Zurich and manage the team’s accounting, human resources, and reporting.
As a member of the FPF office team, you will contribute to FPF’s success through performing the following tasks:
- Managing human resources for the team, such as communication with the authorities, ensuring legal compliance, payment of monthly salaries, etc.;
- Managing the FPF’s financial accounting and financial reporting;
- Managing the annual audit process in collaboration with the external auditor;
- Reviewing, finalizing and managing the signing of contracts with funders and others, including administration of Horizon 2020 and Horizon Europe grants, and reporting;
- Paying invoices;
- Collaborating with other team members to prepare FPF events like the annual workshop and supporting team members with project management tasks;
- Supporting team members with fundraising activities and administrative tasks related to fundraising and networking requirements;
- Maintaining the office infrastructure and coordinating with our external IT provider;
- Supervising the office cleaner and carrying out daily tasks related to office maintenance;
- Supporting team members in other ways, as needed.
**About you.** We are looking for a creative, digitally savvy, dynamic, and science-minded team player with a strong service mentality and an affinity for critical thinking. Proactive, independent task management is a must and comes naturally to you. An interest in science, chemical exposures, environmental protection, human health, and prevention of chronic diseases is essential. A keen motivation to lean in and contribute to the common good of society as well as to the conservation of planetary health, are prerequisites. The ability to communicate clearly and effectively with cross-functional colleagues within and outside of FPF is necessary. You have a post-graduate degree in a field of science or business administration with prior work experience relevant for this position. Permission to work in Switzerland (e.g. current Swiss work permit (Permit B/C/Ci/G) or have EU, UK, or Swiss citizenship) is a must.
- Has previous work experience in managing a small team’s office
- Is a native English speaker or has excellent command of the English language (both written and spoken and speaks German; additional languages (French, Italian, Spanish or others) are a plus)
- Has a high energy level, is adaptable, and able to prioritize and manage time under pressure
- Is s a strong team player—helps others out when needed and accepts getting help
- Is reliable, trustworthy and has an accurate working style with attention to detail
- Is empathic and has excellent inter-personal and cross-cultural skills
- Has personal values that agree with FPF’s mission to protect public health and work for the benefit of society at large
