Executive Assistant

In this exciting role, you will provide comprehensive support of a Board Member and his Executive Team - securing a smooth course of business by coordinating all administrative and organizational matters. You will help support the organisation of small scale events and function as a hub of information and contact person for the global management of our worldwide operating company.
**How you will create a beautiful impact**:
- Communication and correspondence in English and German
- Business travel planning and calendar management for several VPs
- Presentations for & minutes of meetings etc.
- Cost centre budget control (Purchase Orders, invoices approvals, budget planning for events)
- Event organization on Executive Level in domestic and international locations
- Travel and Expenses Management (booking trips, visas, etc.)
- Additional tasks depending on need and personal skills, interests and availability
**Key Interfaces**
- Board of Directors of Beiersdorf & their PAs
- Direct Reports and PAs of Luxury Division Head
- External service providers (birthday gifts, venues, restaurants )
- Travel service partners (hotels, travel agent, airlines etc.)
**What you need to have to be our next audacious and creative talent**:
- Several years of experience in an administrative role reporting directly to upper management
- Ability to maintain confidentiality of information related to the company and its employees
- Excellent written and verbal communication skills in English and German (B2)
- Strong time-management skills and an ability to organize and coordinate multiple concurrent projects
- Flexible team player, willing to adapt to changes and unafraid of challenges, positive attitude
