**OBJECTIVES**:
The Executive Assistant will support the Vice President of International Regulatory Affairs office performing administrative tasks, extensive calendaring, booking travel, handling logistics, organizing events and electronic system maintenance.

**ACCOUNTABILITIES**:

- You will be a liaison role and act as a partnership between the Vice President, the EUCAN & GEM Leadership teams, Takeda Executive Team, and other Global executives.
- Uses appropriate tools for required work including Microsoft Outlook, Word, Excel, and Power Point to track, document, report data, and maintain web pages. Prepare agenda for Staff meetings, Quarterly Meetings, and Team events.
- Follow the contracting process in LINCS. Complete Accruals on monthly basis. All invoices processed and completed in a timely manner and follow up on invoices not paid. Knowledge of SAP, MDG, Ariba, is a plus.
- Reviews documents and proofreads work for grammar and spelling, accuracy, consistency of terms, and completeness; ensures document text and graphics adhere to corporate and organization guidelines and standards. Liaise with team and update all Org charts and reports for the Executive team.
- Arranges travel for the Vice President of International Regulatory Affairs, completes expense reports in a timely manner.
- Collects, reviews, enters, and formats accurate data into spreadsheets, data bases and other electronic tools.
- Interfaces and communicates with internal and external vendors; directs people to the appropriate resources.
- Prepares documentation for payment of vendors, consultants, and suppliers; submits documentation and enters request for payments into accounting system; responds to inquiries from accounts payable and payees.
- Active management of calendars (direct supervisor) including liaising with support staff of senior leaders to facilitate interactions as needed
- Participates in the development and maintenance of improvement processes; actively participates in self
- and team audits and resulting process improvements
- Develops a strong network within the department; draws on network to answer questions, solve problems, and successfully execute responsibilities.
- Demonstrates confidentiality in execution of all responsibilities.
- Performs other duties as required.

**EDUCATION, BEHAVIOURAL COMPETENCIES AND SKILLS**:

- Associates degree or higher education preferred.
- Minimum 10 years of relevant work experience, or equivalent combination of training and experience.
- Strong PC literacy with advanced skills in Microsoft Outlook, Word, Excel, or PowerPoint. Ariba, Concur, LINC, SAP, MDG a plus.
- English: Excellent verbal and written communication skills.
