**Event Manager & MasterClass Programm Coordinator**

**Permanent contract **/ Glion, Switzerland

**Responsibilities**:
**_ Practical Arts Department_**
- Support in coordination of BBA 1 program in collaboration with the Practical Arts program team.
- At the Practical Arts desk, welcome and communicate clearly and efficiently with students. Support them when needed.
- Communicate effectively, interact, and provide support to, and work with, key stakeholders, such as Head of departments, faculty, and the academic administration.
- Manage students’ data collection and entry in systems.

**_ Budget / invoices / POR_**
- Control and monitor invoices and expenses according to budget allocated.
- Create POR due to divers needs (Masterclass, events, others).
- Deal with suppliers when delay of payment and find efficient solution.
- Work closely with the finance and administration team to ensure clear and efficient follow-up and communication.
Control payment of invoices and proforma for Masterclass.

**_ Master Class_**
- Accompany in Masterclass outdoor activities.
- Communicate effectively with key stakeholders (Internal and external).
- Coordinate BBA 1 Masterclass in collaboration with the Head of Practical Arts and Masterclass Team.
- Ensure safe and smooth environment for students while on MasterClass, communicate effectively, and support students when needed.
- Oversee, organize and ensure Masterclass courses are running efficiently from a logistics and organizational point of view.
- Take ownership on Masterclass budget, control and monitor MasterClass program contract, invoices, and expenses according to budget allocated.
- Provide clear content and presentation during class (group project, Ski resort presentation).

**_ Events_**
- Be present during the event to oversee operations, deal with unplanned matters or urgency and work closely with operational department to ensure that the event runs as planned.
- Be the point of contact for events requests linked to the Glion campuses and F&B Operations
- Coordinate events and visits.
- Come up with suggestions to enhance the event’s success.
- Plan event from start to finish according to requirements, target audience and objectives.
- Creating and managing event budgets, monitoring expenses, and ensuring profitable cost solutions while maintaining quality and meeting client expectations.
- Effectively communicate, interact, and provide support to key stakeholders such as the Head of Departments, faculty members, and academic administration. Collaborate with these departments to ensure seamless integration of the event within the academic context and aligning it with the overall goals and objectives of the school.
- Ensure communication with all the departments and faculty to announce the coming events.
- Establish and maintain relationships with external companies and clients, to ensure the smooth coordination of event logistics. Negotiate contracts, coordinate services, and follow up on invoices to ensure timely payments and adherence to budgetary constraints.
- Manage volunteers to contribute to the event's success such as student part.
- Organize and oversee all event logistics, including venue set-up, audio-visual requirements, catering, guest accommodation, transport, workshops need, conferences and all other operational aspects to ensure the smooth running and success of the event.

**Profile and experiences**:

- Bachelor or Master degree acceptable depending on prior experience and other credentials (preference in a Hospitality environment)
- Demonstrated interest or experience in delivering undergraduate level programs
- Demonstrated project management and organizational skills and ability to operate autonomously
- Several years of work experience preferably in the hospitality industry or in the field of education
- Excellent verbal and written communication skills, and fluency in spoken and written English
- Demonstrated ability to work with multicultural teams and in an international environment
- Highly developed interpersonal and stakeholder management skills
