C-Level Executive Assistant

We are seeking a highly organized and proactive Executive Assistant to support a CEO within a family office. This role requires excellent organizational skills, the ability to manage a wide range of tasks, and the professionalism to interact with high-net-worth individuals, financial professionals, and other stakeholders. The ideal candidate will ensure the smooth operation of daily activities and act as a key point of coordination for various administrative and operational matters.

Key Responsibilities:

  1. Executive Support: Provide high-level administrative support to senior management, including managing calendars, scheduling meetings, and handling correspondence.
  2. Travel Management: Organize and coordinate international and domestic travel arrangements, including flights, accommodations, and itineraries.
  3. Document Preparation: Prepare, review, and organize documents, presentations, reports, and correspondence, ensuring accuracy and timely submission.
  4. Meeting Coordination: Schedule and prepare for meetings, including agenda setting, minute-taking, and ensuring all necessary materials are available.
  5. Communication: Act as a liaison between the family office, external clients, banks, legal advisers, and other key contacts. Ensure clear and professional communication.
  6. Project Management: Oversee and coordinate various projects and initiatives, ensuring deadlines are met and objectives are achieved.
  7. Office Management: Handle day-to-day office tasks, including supply management, filing systems, and correspondence tracking.
  8. Confidentiality: Maintain the highest level of discretion and confidentiality when handling sensitive information.

Key Requirements:

  1. Experience: Minimum 5 years of experience in a similar role, ideally within a family office, financial services, or a high-pressure environment.
  2. Organizational Skills: Exceptional organizational and multitasking skills, with the ability to manage competing priorities and meet deadlines.
  3. Communication: Strong verbal and written communication skills in English. French is an asset, and additional languages are a plus.
  4. Technology: Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiarity with office management software.
  5. Professionalism: Strong interpersonal skills, with the ability to work well with senior executives, clients, and team members. Must be proactive and take initiative.
  6. Problem-Solving: A high degree of resourcefulness, problem-solving, and adaptability.
  7. Confidentiality: Ability to handle sensitive and confidential information with professionalism and discretion.
