Executive Assistant:

Position purpose:

The Executive Assistant is responsible for the overall administration duties of the Regional President of the EE Region and the Senior Vice Presidents for GSC and R&D.

The person in this role will manage respective personal agendas (meetings, trips, appointments, expense claims, visas, etc.), issue all correspondence in English/French, or other languages, coordinate meetings and events with respective teams and other stakeholders and Japan Office part of the One Team Project.

The Executive Assistant will assist also relocation matters and on-going assistance with family/personal matters.

What you will do - Responsibilities:

  • Create and maintain an accurate agenda for the three Excom members, ensuring most efficient usage of their time and avoid agenda clashes
  • Proactively provide support to the Excom members and ensure efficient running of their offices
  • Act as interface whenever necessary with JTI or nonJTI counterparts
  • Assist with relocation matters (housing, permits, schooling, memberships, banking, credit cards, etc.) and provide ongoing support with housing/family matters
  • Handle all business correspondence in English and French independent of any outside support
  • Translate correspondence as required
  • Attend to personal administrative matters, thus allowing the Excom members to focus on business related issues
  • Coordinate the travel arrangements for the Excom members with other Regional/Corporate employees when required
  • Prepare and manage the completion of expense claims, including their submission and followup via the Company's expense management system
  • Prepare business documents required by the Excom members (Excel sheets, PowerPoint and Work documents), agenda maintenance for third parties (eg. Tax Advisors)
  • Handle daytoday internal communication/information within the department as well as with other departments and Japan Office as part of the One Team Project, markets or outside contacts, using all sorts of communicatioin tools
  • Organization and coordination of different events
  • Provide support with vendor creation, PO creation and prompt invoice payment through ongoing collaboration with PPO & BSC

Who are we looking for - Requirements:

  • Commercial or Language school, University Degree will be a plus
  • Around 5+ years of experience with a multinational company, providing administrative support to management positions.
  • Experience in supporting a multicultural team based in different locations.
  • Fluent English and French, both written and verbal
  • Excellent computer skills (Word, Ms Outlook, Excel, Powerpoint, Internet).
