We are looking for a highly organized and dynamic Executive Assistant to support our CEO at a Swiss startup as Web Agency. The ideal candidate will be someone who thrives in a busy environment, is adaptable to ever-changing demands, and can provide top-level administrative support with a focus on efficiency and time management.

Aufgaben

Act as a point of contact between the executives and internal/external clients

Manage information flow in a timely and accurate manner

Organize and controll delagated tasks and projects in ticketsystems

Organize and maintain the CEO's calendar, including scheduling appointments, meetings, and travel arrangements

Handle confidential documents ensuring they remain secure

Prepare reports and presentations as requested by the CEO

Coordinate project timelines and follow up with internal teams to ensure prompt execution

Handle incoming calls and emails and direct them to the appropriate parties

Assist in event planning, including logistics, accommodations, and vendor negotiations

Conduct research and compile data to prepare documents for review and presentation by executives

Provide general administrative support which may include but not limited to: photocopying, faxing, and filing

Develop and maintain a level of professionalism among staff and clientele

HR Recruiting Mangement

Possible - not necessary:

Take minutes during meetings and follow up on action items

Edit Text in CMS Wordpress

Prepare Social Media Posts

Prepare Excel Reports

Onboarding Employee, Projects, ...

Qualifikation

Proven experience as an executive assistant or other relevant administrative support experience

In-depth understanding of the entire MS Office suite

Ability to organize a daily workload by priorities

Must be able to meet deadlines in a fast-paced quickly changing environment

A proactive approach to problem-solving with strong decision-making skills

Professional level verbal and written communications skills

Fluency in German and English, with additional languages being an asset

Discretion and confidentiality

Good availabitly via chat

Education and Experience:

Proven track record of organizing complex schedules and logistics

Experience in a startup or dynamic business environment is highly desirable

Good Experience with Computer and IT (GSuite, M365, Ticketsystems)
