To support our growing team, we are looking for a highly organized and proactive
Executive Assistant
. In this role, you will provide comprehensive administrative and organizational support to senior management, ensuring the smooth coordination of daily operations and strategic initiatives.
Main tasks :
- Manage professional and personal scheduling for the highest-ranking executives, including agendas, mail, travel arrangements, and any other logistics
- Prepare monthly expenses for the Management
- Prepare Board meetings, including communication with Board Members, documents preparation, uploading them into Board portal.
- Implement and maintain administrative systems
- Handle travel requirements for Managing Board Members
- Plan and coordinate staff events, including internal gatherings and external corporate events, Year End Party
- Manage event budgets, ensuring cost-effective solutions
- Handle corporate gifts order
- Lead the Annual Report project from concept to completion
- Keep the Registry of Commerce up to date (new signatories, radiation, etc..)
- Perform administrative and office support such as spreadsheet creation, maintenance of filing system and contact database
- Provide diverse HR related administration tasks along the employee life cycle
- Support & replace Receptionist when needed (switchboard, mails, DHL, greeting visitors)
- Maintain professionalism and strict confidentiality with all materials, exercising discretion in business interactions
Skills and qualifications
- 5–7 years of experience in a similar role
- Excellent written and verbal communication skills
- Fluency in English & French
- Proficient with MS Office Suite (Outlook, Word, Excel), PowerPoint and SharePoint
- Strong time-management skills and ability to coordinate multiple projects
- High level of discretion, reliability, and attention to detail
- Flexible team player who thrives on challenges
- Proactive mindset with the ability to anticipate needs and take initiative
