Role Description:

The Personal Assistant provides high-quality administrative and organizational support to an executive, senior manager, or private individual, ensuring efficient coordination of daily activities and professional engagements. This part-time position (20%) requires discretion, reliability, and strong multitasking abilities to manage tasks effectively while maintaining flexibility and attention to detail. The Personal Assistant will handle a mix of administrative, scheduling, and communication responsibilities, supporting both professional and occasional personal matters in a confidential and proactive manner.

Key responsibilities include managing calendars, organizing meetings and appointments, handling correspondence, and coordinating travel and logistics. The Personal Assistant will assist in preparing documents, reports, and presentations, maintaining records and files, and ensuring deadlines are met. Additional tasks may include liaising with internal and external contacts, supporting event planning, and handling light administrative or personal errands. The role demands excellent organizational skills and the ability to prioritize tasks efficiently within limited working hours.

The ideal candidate is professional, discreet, and adaptable, with excellent communication skills and a strong sense of initiative. They should be comfortable managing sensitive information and working independently while maintaining close alignment with their supervisor's needs and preferences. The Personal Assistant must demonstrate sound judgment, a high degree of confidentiality, and the ability to anticipate and address requirements proactively.

Qualifications:

  • Proven experience as a Personal Assistant, Executive Assistant, or Administrative Coordinator.
  • Excellent organizational and time management skills, with the ability to handle multiple tasks efficiently.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint) and collaboration tools such as Teams or Zoom.
  • High degree of professionalism, integrity, and discretion when handling confidential information.
  • Strong interpersonal skills and the ability to interact effectively with a wide range of stakeholders.
  • Flexibility, reliability, and attention to detail, with a proactive and service-oriented mindset.
  • Ability to work independently and manage priorities effectively in a part-time capacity.
  • Fluency in English required; additional languages are an advantage.
