**Job Purpose**:
Support Business & Functional, Heads for Travel, Expenses, Events and Administration
**Responsibilities**:
**1st Priority**: dedicated senior executives
Follow up on Business Travel and General Conditions of Travel (Safety, Costs, Entrance documents)
Follow up on Travel Expenses
Follow up on Visas
Follow up on invitation letters for other countries invitees
**Follow up on events**: organisation, search, budgeting and liaise with Internal Support Services when necessary
Acts as single point of contact for allocated departments.
Supervises and Support the Internal Support Services for repairs and special events when necessary
Issue Corporate Credit Cards on demand
Liaise with the Service Center for the Control & Payment of Concur Expenses
Onboarding of new staff members
Supplier relationship management (Hotels, Cars, Airliners)
Interlocation coordination
Back up for other BSA
**Finance**:
Check and control incoming invoices versus order and budget
Prepare and follow up invoices trough the payment system until payment
Check and Control Expenses Back Logs of departments
Check and Control compliance with Travel Policy
**Administration**:
Insure small Admin work as needed in the departments (letters, archives, legalisation, etc.)
Security, Health and Safety
Keep the track of travellers
Acts as BCM coordinator support for supported departments
**Requirements**:
Fluent in French and English, other languages (chinese, Spanish) welcome.
Dedicated, flexible, detail oriented person with good interpersonal skills.
Capable of managing stress while handling demanding Staff members and staying professional with Staff/visitors/clients, good ability to work in a challenging and changing work environment.
Experience in a travel or hotel environment. (changing environments with high level of adaptability while managing interface with suppliers and people).
