**A Typical Day Will Include**:
As a **Receptionist Team Lead **working on the **Site Administration Team**, you will be the first point of contact for the company, and you will provide a range of administrative support across the organization. You will handle visitors, callers and external providers and ensure that all receptionist/switchboard responsibilities are completed accurately and delivered with a professional and courteous service of high quality and in a timely manner.

The Reception Team Lead will assist the Facilities Operations Site Lead in ensuring all aspects of the daily operational services at the reception desks are delivered to best practice standards.

You will be empowered to:

- Work schedule coordination and daily operational management of the reception team (2 locations) (3 receptionists)
- First point of contact for the Reception Team for any questions or clarifications
- Ensure highest levels of customer service at the reception desks and that the appearance of the reception team is always professional and remarkable
- Work together with the Security team to serve visitors and by greeting, welcoming, directing and announcing them in a warm, friendly, and professional manner. Maintain security by following procedures and controlling access
- Support different departments/stakeholders in day-to-day administrative requirements
- Be responsible for opening and closing the reception
- Ensure high standards of cleanliness are maintained throughout the reception area
- Perform other clerical receptionist duties as and when they arise
- Communication and coordination with Takeda FM Management and the external FM Management Service provider
- Participate in the recruitment of new team members as needed together with the Facilities Operations Site Lead
- Maintain Health and Safety standards / support in emergency situations
- Being the first point of contact for external Reception service providers, external suppliers, and different stakeholders.
- Maintaining standard files and archive

**Qualifications**:
**Experience**:

- Exceptional customer service and team leadership skills and a proven working experience in similar roles in equally international organizations

Capabilities:

- Team leadership - provide guidance and maintain communication with the Reception Team
- High degree of service mentality, willingness to go the extra mile
- Ability to be resourceful and proactive in dealing with issues that may arise
- Ability to react swiftly and according/appropriate to situation
- Ability to organize, multitask, prioritize different tasks
- Calm under pressure and able to remain professional at all times
- Ability to keep up with a continuously changing environment/processes
- Diligent, reliable and highly organized work style
- Ability to work both within a dedicated team as well as independently and out-of-hours where required
- Open to learn and innovate

**Skills**:

- Fluency in German and English (oral and written) - **Mandatory**:

- Excellent communication skills
- Good working knowledge of MS office systems and experience with other IT software / infrastructure
- Desire to put people first and demonstrate the values of Takeda-ism
