At our location in Epalinges, we are looking for you as

**OFFICE MANAGER 100% (M/F)**

In this role you are the main person to manage the office reception and administration to ensure smooth running of the business.

**Your main tasks are**:

- Serve as the point person for office manager duties including mailing, supplies, bills, errands, schedule meetings and appointments.
- Organize office operations, policies and procedures.
- Provide general support to CEO.
- HR Administration: Manage employee contracts, keep employee records, handle social security matters, insurances, work permits, and pension schemes. Assist in the onboarding process for new hires.
- Invoice Preparation: Oversee the preparation of invoices for accounting, ensuring accuracy and compliance.
- Manage contract and price negotiations with office vendors and service providers.
- Manage office G&A budget, ensure accurate and timely reporting.
- Provide general support to visitors.
- Address employees queries regarding office management issues (e.g. stationery, Hardware and travel arrangements).
- Liaise with facility management vendors, including cleaning, catering and security services.
- Plan in-house or off-site activities, like parties, celebrations, and conferences.

**What you bring with you**:

- Relevant experience in a similar role.
- Excellent organisation and time management skills.
- Structured way of working and ability to prioritise.
- Collaborative, communicative, team player and a mindset to improve processes.
- Ability to handle sensitive information with discretion.
- Proficiency in Microsoft Office Suite and other office software.
- Excellent written and verbal communication skills.
- Fluency in French and English is a must.
- Willing to work on site 5 days a week.
