**What you will be doing**
- Managing dynamic calendars of the **Group SVP Human Resources** and the **Group SVP Marketing & Communications**, ensuring all appointments are scheduled based on business priorities, compiling documents for meetings and projects, acting as a gatekeeper with a helicopter view, and creating win-win situations for all stakeholders.
- Arranging travel (visa, logistics) and processing associated expense reports.
- Organizing events, workshops, off-sites, conferences, and town halls.
- Supporting your line managers in their daily activities to ensure project deadlines are met while maintaining the highest quality standard.
- Following up on sensitive or confidential concerns, determining an appropriate course of action/response.
- Coordinating executives' outreach and external relations efforts; serving as the administrative liaison to other departments and the board, providing a bridge for smooth communication; maintaining credibility and support.
- Helping drive the company’s culture and connection - you will actively contribute to the group integration phase.
- Improving administration processes and procedures; collaborating with teams across global offices.
**Your Education, Skills, and Abilities**
First and foremost, we are looking for the right mix of service-oriented attitude and results-driven aptitude. You prioritize tasks in an evolving environment and learn quickly on the job, with a sure instinct when to take charge. As a thoughtful thinker, you are always three steps ahead of the game and feel comfortable in a setting where change is constant, with the agility to maneuver through. No less important is that you bring an upbeat spirit, passion, and energy. Additional qualities we are looking for?
- A commercial or bachelor’s degree, ideally combined with further training, e.g., project/event management combined with several years of experience in a supporting role, non-technical project management, or corporate event planning.
- Your CV reflects that you have collaborated with different organizational levels and planned complex travel across different time zones.
- Business fluency in English (C1 or C2); German and French language skills are considered a plus.
- Highly skilled in MS Office and collaboration platforms (Teams, Zoom) and other business productivity tools.
- Ability to communicate effectively with senior executives and employees across the team and company.
- Organized, **resilient**, and very flexible; skilled in quickly adapting to new circumstances as they arise.
- Excellent collaborative style with a **can-do attitude**; you are a team player who builds effective working relationships - this is a key component to creating work happiness.
- High EQ and a quick grasp: Ability to read people and understand unspoken needs. You know exactly when to push through and when to hold back. You understand assignments and complete them with mínimal follow-up from the executives.
