We need an exceptional Front Desk Assistant to help us achieve customer satisfaction. Reporting to the Office & Facility Team Lead, you will play a key role supporting the
existing team. Specifically, you will:
**Front Desk Support**
- Professional welcoming of guests and visitors
- Professional operation of the incoming telephone calls in English and German
- Reservation of conference rooms (Outlook) and guest offices
- Organisation of office services such as lunch orders, office supplies, etc.
- Timely information flow between Internal Services, Facilities and Reception on meeting requests and catering, guest offices, etc.
- Access control and registration of all visitors and clients according to the COFRA process (badges)
- Travel arrangements as requested: mainly taxis, train tickets
- Response to alarm (during office hours)
- Opening of mail / couriers and distribution
- Monitor own orders / check invoices
- Preparation for new joiners: welcome and flowers, lists etc.
- Preparation for leavers: farewell card, gifts and apéros etc.
- Special organisational tasks regarding birthdays, anniversaries, marriages, farewell, birth of children, cases of accidents or deaths etc.
- Regular updating of lists and overviews, f.ex. service schedule of Front Desk staff
- Other regular administrative tasks (monthly/yearly)
- Regular updating of Front Desk Manual
**Support Team Lead**
- Support the Team Lead in recurring administrational and operational activities such as
- Events planning/coordination such as Evacuation Trainings, First Aid, etc.
- Website content management,
- Travel services planning and coordination including supplier contacts
**What you will need**
Be a pro-active team player with strong service orientation and organization skills, who likes to support clients with professionalism and highly competent manner in a demanding environment. Act as a ‘first-class professional service provider with a good sense of humour and friendly and charismatic appearance.
Be flexible and a quick learner with the following skillset:
- Experience in Reception, Front Desk, Gastronomy, Hotel industry or other service provider background
- Experienced in working in a multinational company preferred
- Good interpersonal skills and experienced to work in a multicultural organization
- Experienced in handling discreet matters
- German and English verbal and written knowledge necessary (advanced level)
- Any other language is an asset
- Most important: Be positive, a team-player with excellent interpersonal skills and enthusiasm and bring fun and motivation to the team
