**Position summary**
Located in the centre of Zug (Switzerland) our Company is focused on the trading of raw materials (mainly coal). To complete our team, and ensure efficient office managment, we are looking for an **Office Assistant/Secretary**, taking care of the following tasks:
**Your responsibilities**:
Supervise and ensure office functioning, including:
- Liaise independently with local office suppliers to ensure proper office functioning, cleaning, technical assistance, etc.
- Keeping an inventory of office supplies / property and placing material orders
- Drafting and translation of documents from/to German, English, Russian
- petty cash management and reporting
- prepare presentations, reports, and tables
Assist management and colleagues in:
- Conference, hotels, reservation, flight, restaurant booking, participation to events (booking/cancellation/refund)
- Organisation of events
- Welcoming visitors, assist onsite guests
- Write correspondences and other formal documents (in English, German, Russian)
- Plan and schedule appointments, meetings and events
- Organizing and archiving documents (in paper and electronic form), develop and implement organized filing systems
Assist management and HR in:
- business expense management (checking and reporting)
- credit card invoice checking
- absence schedule: vacation, business trip, monitoring and reporting
- welcoming and assisting new team members with administration tasks, including interaction with local authorities concerning permits, tax at source, registrations issues, etc.
Perform all other office tasks, including general support to the company’s management and colleagues.
**What makes you successful**:
- several years of experience in office administration, carried out in Switzerland
- Knowledge of local administration practices and regulations
- Languages: Russian, German and English : fluent (written and spoken)
- Other Skills:
Positive, friendly and proactive attitude
Flexibility and care.
Ability to prioritize and multitask
Excellent written and oral communication skills
Strong attention to detail
Strong organizational skills
Knowledge of IT programs: Excel, Word, Outlook, PowerPoint
