For our client, a renowned pharmaceutical company based in Basel, we are looking for an Administrative Assistant to supplement PTS Admin Team

Background

The administrative team supports the Global Supply Chain department, which consist of about 55 people. The department is structured into different teams that are responsible for different areas of the world. The administrative teams supports the Supply Chain Teams in all kinds of administrative tasks.

Aufgaben
- Support team members and team leads in Basel
- Calendar management
- Plan, schedule and coordinate global and local on and off site meetings, team events, workshops, video conferences and provide logistics (venue, room booking, printing material, office supplies, meeting logistics, room and restaurant reservations, catering)
- Book national and international travels (flights, trains, rental cars, hotels, transfers, team events) with given guideline and in collaboration with the in-house travel department, support visa process for international trips and provide invitation letters for international visitors if required
- Handle invoice approval flow, create purchase orders and support vendor creation (MyBuy)
- Schedule interviews and coordinate confidential recruiting activities with HR and management
- Maintain distribution lists
- On
- and off-boarding of internal and external staff
- Supporting office moves
- Support physical and electronic archiving
- Liaise with different audiences and cultures, including senior management, vendors and business partners in various other departments
- As part of the PTS Admin Team support and deputize assistants, contribute to identifying and changing administrative processes, guidelines or systems for increased efficiency

Qualifikation
- Min. 3 years work experience as an administrative assistant in a similar role / global company
- MS-Office Skills (Excel, PowerPoint, Word, Adobe Acrobat)
- Experienced in coordinating global and local on and off sites, team events, workshops, on a smaller and also larger scale (+50 pax)
- Experienced in booking international travels
- Work experience in handling difficult and stressful situations and respond effectively
- Good technical understanding and good networking skills
- Fluent in German and English, fluent written skills in German and English

Nice to haves
- Roche or Pharma experience
- Knowledge of Google suite (Gmail, gCal, gDrive, gSites, gSheets, G+)
