About the Role:

We are seeking a highly organized and detail-oriented Office Coordinator to join our team at Air Charter Service in Geneva. As an Office Coordinator, you will play a key role in supporting our sales teams with their day-to-day tasks and ensuring smooth operation across the office.

Key Responsibilities:

  • Assist the CEO with daily activities and provide administrative support as needed
  • Manage the office diary and schedule client meetings
  • Oversee flight files and assist with preparing flight briefs
  • Manage travel and accommodation needs and organize training for the office as required
  • Oversee Accounts Payable / Receivables and ensure accurate financial records
  • Assist with office recruitment and work with the HR team to coordinate new starter information and inductions
  • Take meeting minutes and maintain accurate records
  • Schedule employee appraisals and maintain up-to-date employee records
  • Maintain a clean and organized office area at all times and process and distribute daily post
  • Maintain stationery for the office and ensure all necessary supplies are available
