WayRay is a pioneering deep-tech company that is revolutionizing the world of holography. We are seeking a highly skilled and organized Administrative Manager to join our team in the Zurich office. This role will play a crucial part in creating a welcoming and comfortable working environment that reflects the company's culture and core values.

Key Responsibilities
  • Office Organization and Administration: Maintain a positive and professional attitude to keep the office organized and running smoothly.
  • Administrative Support: Provide administrative support to employees, including tasks such as data entry, filing, and record-keeping.
  • Reception and Communication: Perform receptionist duties, including greeting visitors, answering and directing phone calls, and responding to emails.
  • Procurement and Inventory Management: Purchase office supplies and equipment, and maintain proper stock levels to ensure a smooth operation.
  • Service Provider Management: Oversee the service providers, including couriers, cleaning services, facility management, and health and safety consultants.
  • Reporting and Presentations: Create presentations and other management-level reports to support business decisions.
  • Policy Development and Implementation: Develop and implement office policies and procedures to ensure a consistent and efficient operation.
  • Health and Safety: Manage health and safety procedures to ensure a safe working environment.
  • Event Planning: Plan and organize various meetings, conferences, and other events to support business objectives.
  • Business Travel Support: Provide support for business travel, including booking flights and accommodations.
  • Office Layout and IT Infrastructure: Assist with office layout planning and office moves, and manage and maintain IT infrastructure.
  • Facility Management: Manage office facilities, including maintenance and repairs.
  • Financial Management: Manage office budget and ensure financial resources are allocated effectively.
Requirements
  • 3-5 years of work experience in office management, preferably in international companies with offices and workshop facilities.
  • Basic knowledge of project management tools, budgeting, and creating timelines.
  • Excellent communication and interpersonal skills.
  • Microsoft Office proficiency.
  • Proven team player who helps create results and a positive team environment.
  • Ability to prioritize projects and resolve problems independently.
  • Exceptional attention to detail with a desire to exceed expectations.
  • Languages: English - Fluent, German - Fluent; Russian is an advantage.
