Key Objective

In this position, you will oversee export logistics, manage shipping services, and ensure compliance documentation for all inbound and outbound shipping operations for Sotheby's Switzerland.

Responsibilities include:

Shipping Department

Overseeing the administrative and operational functions of the Shipping Department for Sotheby's Geneva; Managing both internal and external communications; Engaging directly with clients for various shipping, presale, postsale, and customer service needs; Inputting data and generating reports on export statistics for Switzerland; Organizing and preparing necessary documentation; Following up on items sent under Temporary Export / Import regulations; Coordinating with the Finance Department regarding VAT refunds for purchased items; Providing the Finance Department with relevant details for VAT reporting; Cultivating productive relationships with other shipping departments globally; Maintaining shipper contacts and conducting quality assessments.

SAP and Invoice Management

Acting as the Central Purchasing Coordinator (CPC) for the Shipping Department and Operations in Geneva; Drafting and issuing invoices and shipping quotes for chargeable services; Managing invoice procurement in SAP as necessary; Ensuring compliance with security protocols; Supporting operations during auctions in Geneva, traveling exhibitions, and events; Assisting with SAP procedures for administrative and shipping teams in EMEA/US; Participating in training sessions as required; Handling ad-hoc project management tasks.

Required Skills/Competencies

Federal Certificate of Vocational Education and Training (CFC) in Commerce, Forwarding Merchant with Federal Diploma of Vocational Education and Training is advantageous; Proficiency in spoken and written English and French is essential; knowledge of additional languages is a plus; Demonstrated experience in a client-facing role, preferably within a shipping company, luxury brand, or auction house; Comprehensive understanding of shipping logistics, including packing solutions, transportation methods, international regulations, and customs; A strong commitment to client service, operational efficiency, and a keen interest in technology; Exceptional written and verbal communication abilities; IT proficient, familiar with financial databases, and capable of quickly learning new systems; A collaborative team player who brings enthusiasm and energy to their work; Ability to prioritize tasks and independently resolve issues; Resilience and a proactive, flexible approach to overcoming challenges while maintaining high service standards.
