We are currently recruiting for a Management & Team Assistant for our Global Rare Diseases Business Unit with base in Glattbrugg, Zurich. In this role you will take full ownership to effectively support the Head of Global Business Unit Rare Diseases, Regional Commercial Leads, and marketing team members in administrative tasks, organization and coordination of activities

Your responsibilities and tasks will be the following, but not limited to:
**Responsibilities and related tasks**
- Office support, administrative & organizational matters, coordination for Global Business Unit Rare Diseases team
- Coordinate complex scheduling and extensive calendar management, as well as management of content and flow of information to senior executives
- Perform administrative and office support, such as preparing documents (letters, minutes, reports, presentations, etc.), creating spreadsheet, maintaining the filing system and contact database
- Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business
- Handle and monitor purchase orders, invoices, agreements, acting as interface between team members and service providers/external stakeholders as required
- Organize team communications
- Plan events (internal and offsite), local and international meetings (incl. travel & visa arrangements, agenda planning, logistics, equipment, etc.)
- Assist of new joiners (e.g. preparation of onboarding program)
- Transparency reporting for 3rd parties
- Routine as well as daily ad-hoc tasks
- Deputy for work colleagues / executive assistants

**Preferred Requirements**
- 5 years’ experience in administrative role reporting directly to senior management
- Business acumen in Pharma.
- Strong time-management skills and the ability to organize and coordinate multiple projects at once
- Proficiency in Microsoft Office and other office productivity tools, with aptitude to learn new software and systems (SAP and Apttus is a plus)
- Flexible team player willing to do what it takes to get the job done; adaptable and enjoys a challenge
- Ability to keep company confidentiality
- Ability to pay attention to detail
- Organization skills
- Interpersonal skills
- Excellent written and verbal communication skills in English (German is a plus)
