**General Services Mail Room Associate**

**What this position is about - Purpose**:
This position consists to sort incoming mail and parcels, ensure that it is delivered to the correct employees in a timely manner. The General Services mail room associate is also in charge of shipments, customs regulation, maintaining stock of office supplies.
The Mail Room Associate will also perform Reception activities upon demand.

**What will you do - Responsibilities**:

- Receive, sort and distribute letters and parcels. Prepare packages, ensure the pickup by logistics and customs clearance partners within designated time frame. In case of delivery on site, accurately scan out packages to internal customers, notify them and ensure the end of the process. Ensure the documents legalization process
- Ensure on daily basis the follow up on ongoing parcel deliveries through the partners platforms. Ensure the troubleshoot shipments issues by Logistics partners in due time
- Maintains records of receipt, mailing dates, and other required information. Issue quaterly monthly report, quaterly KPI's in collaboration with the supplier and colleagues
- Maintain inventory of enveloppe, stamp, boxes, and packing supplies for the mail room. Maintaining order of centralised office supplies: product reassortment, up-to-date inventory, place orders from suppliers
- Communicate with management to ensure optimal operational efficiency. Provide improvement suggestions to ease employees' life and facilitate operational aspects
- Manage various tasks and projects as they arise and upon manager’s request

**Who are we looking for - Requirements**:

- High shool diploma. IATA certification, comfortable with transport of dangerous goods and customs regulation
- 5 years in a similar position. Experiences : Supply chain, Customer service, Delivery service
- **Fluent French and English**:

- Organizational and clerical skills in order to ensure that every package and letter is delivered to the correct individual on time
- Demonstrates good computer skills for the purposes of data entry and reordering supplies as necessary
