This position is located in the Office of the Director of the Human Rights Council and Treaty Mechanisms Division (CTMD) of the Office of the High Commissioner for Human Rights (OHCHR), Geneva. The incumbent reports to the Human Rights Officer.

**Responsibilities**:
Within limits of delegated authority, the Programme Management Assistant will be responsible for the following duties:

- Assists the Civil Society Team in facilitating and coordinating support to non-governmental organizations (NGOs) in their engagement and participation in the context of the sessions and other meetings of the Human Rights Council (HRC), its subsidiary mechanisms and Treaty Bodies as appropriate.
- Assists in processing NGO written statements for HRC sessions, in particular through monitoring the system of their submission, formatting and transmitting the documents for further processing, liaising with OHCHR and UNOG colleagues in charge of documentation as appropriate, uploading in relevant databases and on the website, and keeping track of the status of processing of NGO written statements.
- Assists in facilitating the organization of NGO-related meetings in the context of the sessions and other meetings of the Human Rights Council and, as appropriate, its subsidiary bodies, particularly through the receipt and processing of requests, the organization of conference rooms and other facilities, preparation of documentation and materials, and providing support during meetings and in their follow-up.
- Assists in supporting Treaty Bodies in coordinating participation and engagement with civil society, as might be required.
- Prepares statistics, keeps track and compiles information on the engagement and participation of civil society actors in the abovementioned human rights mechanisms; maintains relevant databases and webpages.
- Attends to queries/requests from civil society actors on their engagement with the relevant human rights mechanisms.
- Drafts related correspondence.
- Initiates administrative requests for meetings of team members; makes necessary arrangements for meetings, including issuance of invitations, preparation of attendance lists and agenda, correspondence and any follow-up action.
- Performs other duties as might be requested in the context of the sessions of the mentioned human rights mechanisms and/or civil society engagement with them.
- Assists in facilitating internal exchange of information and practices on civil society among relevant human rights mechanisms and other parts of the Office, including through devising and managing tools as necessary and assisting with collection of inputs.
- Assists in mapping exercises and coordination processes on NGO matters as might be required.
- Prepares and maintains internal reports, evaluation and justifications, archives and files, and relevant platforms and tools.
- Participates in the development/modernization of database and provides feedback to developers as required.
- Assists in the preparation of missions, including administrative requests.
- Assists with outreach and human rights mainstreaming initiatives.
- Enters information related to the HRC into IMDIS for programme performance reporting; assists in the preparation of the budget for both RB and XB in relation to NGOs when required; assists with the recruitment process as appropriate.
- Performs other duties assigned by the team.

Education
High school diploma or equivalent.

Work Experience
A minimum of five (5) years of experience in programme or project administration, technical cooperation, administration or related area is required.

Experience with an Enterprise Resource Planning (ERP) system, such as Umoja, is desirable.

Experience in formatting United Nations documents is desirable.

Languages
English and French are the working languages of the United Nations Secretariat. For the position advertised, fluency in English or French with a knowledge of the other is required. Knowledge of another United Nations official language is an advantage.
