Purpose

The Information Management Coordinator (IMCo) is responsible for both the technical and strategic coordination of information management (IM) at one or several Department level. They ensure the Departments manage information efficiently - both the technical side with the right organization, processes and tools and IM's organizational development at Headquarters and in line with related institutional guidelines and practices.
They work closely with and the other Information Governance (IGOV) team members to ensure that all information management related issues are addressed, and questions answered.
The IMCo act as change agents & enablers for all Information Management in in the covered Departments. In this regard, they are responsible to ensure that there is a roadmap in place, together with the guidelines, processes and tools that are known and implemented in the departments. They build capacities and support within the teams - and particularly those of the (Executive) Assistant and IM Officer (E)AIMO- so that the roadmap is implemented, guidelines, processes or tools are mastered.
The IMCo develop synergies with all information and data protection professionals to better ensure the spread & fostering of organizational knowledge, the capture and security of of information and data, the proper management & structure of the information management.

Accountabilities & Functional responsibilities

In collaboration with IGOV & based on the IM global strategy, develop a 2-3-year IM roadmap for the covered departments, considering specificities

**Innovative/visionary**: propose & pilot novel solutions building on the IM global strategy and in close coordination with IGOV to enhance workflows & information management in a complex environment
Ensure coherence in IM practices in the covered departments
Draw up action plans to be discussed/validated with the management of the covered departments; ensure follow-up of these action plans & support the (E) AIMO to implement them
Implement, promote, and monitor IM guidelines, projects, & tools and more broadly IM activities to achieve better IM consistency
Based on analysis of needs & processes, propose, and implement solutions to improve the management of the information life cycle
Actively seek and develop internal collaboration and synergies with other departments - particularly with staff in charge of data management - to "raise flags & ensure that IM guidelines are applied

And

Systematically organize or supervise information or training sessions for staff
Contribute to the global thinking and orientations regarding IM strategies
Evaluate & ensure that IM competencies are in place and that the setup is adapted to needs (including IM relays)
Together with the (E)AIMO, organize & facilitate IM seminars/workshops
Act as a technical supervisor of the (Executive) assistants & IM officers: participates in their recruitment; advises, supports and provides/arranges training and coaching to build and develop their skills on all IM related aspects
Advise on physical filing and semi-current archives as per institutional guidelines
Ensure compliance with the information and data security (including Data Protection Office DPO) recommendations & other institutional approved rules
Ensure compliance of access management & permissions with the access policy
Raise awareness on Information Security & promotes good practices, proposes solutions for a better implementation of Information Handling Typology

Additional duties

Ensure the follow up of all messages and correspondence related to the work, in relation with the concerned interlocutors and/or departments.
Be aware of the covered departments’ objectives as well as host department’ objectives and has a good knowledge of the Movement and other interlocutors relevant to the position.
Collect and shares information so as to improve the ICRC’s understanding of the environment, humanitarian trends and responses when relevant.
Represent the ICRC in an appropriate way during activities, meetings and avoids any activity that may reflect negatively on the ICRC’s image.
Take responsibility of own professional learning and development.

People management responsibilities

Act as a blue line for (E)AIMO
Participate with the Line manager in the Performance Management & Development (PMD) activities for employees under their blue line responsibility.
Engage in ongoing and continuous feedback and support particularly for employees under their blue line responsibility but also other staff members
Organize regular meetings within their blue line team to ensure optimal coordination of the work and proper flow of information.
Ensure with the line manager that job descriptions for employees under their blue line responsibility are up to date, seeks feedback and support of HR dep
