**Job Overview**
The Team Lead Reception is leading the reception team and is handling a variety of administrative tasks. The job holder is responsible for greeting visitors at our offices in a positive, discrete, and helpful attitude. Assisting where necessary, helping maintain our workplace security by issuing, checking, and collecting badges as necessary. Furthermore booking, monitoring, and preparing meetings and support with needed hospitality services Furthermore, can independently organize with our supplier minor on-site repairs at the Facility.
The Team Lead Reception is key point of contact at our front desk and provides excellent customer service onsite by answering the main phone number and interfacing with courier, mail service and other suppliers including staff requests in a professional manner.
In addition, the Team Lead Reception coordinates with the Administrative Generalist visitor management processes with external partners and our corporate flats.
**Main Responsibilities**
- Responsible for the functional and personnel management of the front desk team
- Welcome external and internal visitors and accompany them to the meeting rooms or workplaces.
- Engage professionally and positively on the telephone and take messages when forwarding is not possible. Any questions concerning our company from media companies or journalists are to be forwarded to the appropriate departments (Corp. Comm.).
- Take care of incoming and outgoing post and packages.
- In the morning the dishes must be cleared from the dishwashers in the kitchens.
- Check the meeting booking calendar one day before and optimize bookings in line with the meeting hosts.
- Set up requested equipment or refreshments/catering for larger meetings in time including coffee machine check.
- Monitor office supplies and order them promptly when needed. Maintain office equipment i.e., shredder, printer function and paper/toner supply daily.
- Keep the digital database and pending list up to date by supporting these processes.
- Work collaboratively and communicate with the Office Manager and Administration Generalist in all involved
**Skills and Qualification**
- Proven experience as a Receptionist, a Hotel Receptionist, or in a similar role
- Experience in leading a small team
- Proficiency in Microsoft Office
- Demonstrated team player, with ability to operate in a multi-cultural environment, and establish harmonious and effective working relationships
- Structured and independent working style with high level of confidentiality and attention to detail
- Enthusiastic for catering and proficient in planning and organizing hospitality services onsite with our external provider. Excellent time management skills and ability to multi-task and prioritize work
- Attention to detail and problem-solving skills
- Very highly organized and structured, good planner, with a high level of attention to detail;
- Solid written and verbal communication skills in English and German
