Receptionist

**Position Summary**:
As our Receptionist, you will be the first point of contact for our company. You will welcome guests and greet people who visit the business. You will maintain office security by following safety procedures and controlling access via the reception desk (monitor log-in, issue visitor badges). You will also coordinate front-desk activities, including distributing/stocking supplies, correspondence, and redirecting phone calls and visitors. You will need to juggle numerous catering and lunch deliveries, and coordinate with administrative staff around set up, and clean-up of those deliveries. You will be responsible for the upkeep and cleanliness of multiple kitchens and meeting rooms. You will need to think on your feet, and problem solve on the fly. You will also be called upon to complete various administrative tasks.
To be successful as a Receptionist, you should care about what you do and love what you're doing. Have a pleasant personality, as this is also a customer service role. You should also be able to deal with emergencies in a timely and effective manner. Always keeping an eye on streamlining front office operations. Possess problem solving skills, and take the initiative to solve those problems.
**Key Responsibilities Include**:
- Greets and directs clients and visiting Apellis colleagues in a courteous and professional manner; and notifies the appropriate personnel of visitor arrival.
- Serves as primary contact for vendors, visitors, guests, and control badge authorization.
- Coordinates meetings, catering, and lunch deliveries
- Assists in keeping front desk reception well maintained and house clean and professional communal areas i.e.: lobby, kitchens, and conference rooms.
- Responsible for Purchase Requisitions & Supplier management for the international team (SAP) - 40-50% of time
- Performs ad-hoc administrative duties and projects as needed.
- Assists Office Manager as needed.
- Accepts deliveries of packages, responsible for incoming/outgoing mail & couriers
- Other duties are required.
**Education, Registration & Certification**:
- High school diploma with college or equivalent work experience.
- BA is a nice to have.
**Experience**:
- 2+ years' experience as a Receptionist or Administrative Assistant required.
**Skills, Knowledge & Abilities**:
- Excellent written and oral communication skills in English and German, interpersonal and organizational skills; and meticulous attention to detail.
- Exceptional customer service skills and professional phone manner.
- Proficient in Microsoft Office Suite, particularly Microsoft Outlook Calendar, Word, and Excel.
- Ability to create organized systems.
- Experience with Smartsheet and/or willingness to learn.
- Working knowledge of office operations and administrative tasks.
- Overachieving and take-charge attitude and enhanced work ethic.
- Sense of humor.
