KS Ventures AG (an investment and management Family Office) is looking for a HR & Administration person to join one of its subsidiary companies. The **HR & Administration Specialist** is responsible for providing support to the Head of Talent in various HR and administrative functions. This role involves ensuring compliance with company policies and labor legislation, managing employee records, coordinating recruitment processes, overseeing payroll, and implementing training and development programs. The HR & Administration Specialist will also assist in maintaining relationships with external accounting and labor teams, managing invoices, and supporting the COO in various organizational projects.

**Key Responsibilities**
- Monitor employee clocking, absences, leaves, and vacations to ensure adherence to company policies and labor laws.
- Assist in the management of issuing and receiving invoices with customers and suppliers.
- Collaborate with the Head of Talent to upload payments in the company's e-banking system for validation.
- Support communication and coordination with external accounting and labor teams.
- Arrange meetings with line management and team members to monitor tasks and objectives.
- Support the Head of Talent in the monthly payroll process, ensuring accuracy and timeliness.
- Update monitoring tools for suppliers, employees, and customers.
- Assist in establishing protocols to ensure compliance with company policies and procedures.
- Support operations in dismissal processes.
- Support in the relationship with the Occupational Risk Prevention company and ensure employees undergo required trainings.
- Oversee the development and implementation of employee training and development programs.
- Maintain employee records and ensure compliance with data protection regulations.
- Provide support to employees on well-being at work, including health and safety matters.
- Support in the HR and administration department budget.
- Perform other duties as assigned by the Head of Talent or COO.
- Previous experience with HR and Administration
- Strong MS Office skills, particularly Excel
- Excellent analytical skills and ability to think outside of the box
- Detail-oriented with an eye for the big picture
- Knowledge of Software industries
- Excellent command of written and spoken Spanish & English
- Positive attitude and good energy
- Virtual working experience
