Novo Nordisk is seeking a skilled Office Manager to join our team and keep our office running like a well-oiled machine.
The Position
In this exciting opportunity, you will be handling large office invoices and contracts as well as always being in touch with our facility management suppliers. You will also oversee negotiations with our suppliers and ordering the supplies, and you will be responsible for the physical safety of the office e.g. organizing annual fire drill, updating emergency plans on SharePoint, maintenance of first aid kits & defibrillator, organizing annual first aid training etc.
Furthermore, your tasks will include:
- Receptionist tasks, approx. 50% of the time you will also oversee the reception, and the activities could involve picking up the phone, e-mails, greeting visitors and general support.
- Being the main contact for external entities e.g., governmental institutions, landlords etc.
- Independently acting on open tasks e.g., maintenance of office, structuring of processes and proactively following up on deadlines.
As the Zurich office is an international hub, many key meetings are hosted at the office and you will be responsible for supporting with organizing meeting rooms and refreshments for meetings, coordinating with assistants and external catering partners.
Qualifications

- You will be proactive, self-organized and able to work independently, managing priorities effectively and working with high standards on deliverables.
- You feel comfortable working with different systems and are fast at learning new tools.
- You are proficient in the Microsoft Office package.
