The position

Novo Nordisk is looking for an organized and proactive Front Desk & Team Assistant to support our Vice Presidents and ensure smooth day-to-day operations across our office. This role is integral to maintaining a professional and efficient workplace, providing essential administrative and reception services, and contributing to an engaging and productive environment.

Key Responsibilities:
  1. Administrative Support: Manage calendars, travel arrangements, and itineraries for Vice Presidents, ensuring efficient scheduling and preparation for all commitments.
  2. Team Assistance: Provide general support to the team, facilitating collaboration and contributing to the success of various projects and tasks.
  3. Event Coordination: Plan and organize department events, managing logistics such as venue selection, catering, and equipment setup.
  4. Facility and Operations Management: Oversee office facilities, handle invoices, and ensure a safe and well-stocked work environment.
  5. Reception and Front Desk Duties: Serve as the first point of contact for visitors and callers, managing mail, phone calls, and a welcoming reception area.

Qualifications
  1. High school diploma or equivalent; certification in office administration preferred.
  2. Fluent in German and English; additional languages are an advantage.
  3. Proficient in Microsoft Office (Outlook, Teams); familiarity with SharePoint is a plus.
  4. Excellent verbal and written communication skills.
  5. Strong organizational skills with attention to detail.
  6. Effective at managing and maintaining relationships with stakeholders.
  7. Flexible and capable of handling changing priorities.
  8. Proactive in identifying and resolving issues efficiently.
  9. Works effectively in a team-oriented environment.
