Executive Assistant to the Group HR COO

In this role you will provide personal assistance and support to the Group HR COO and the Group Head of HR Technology, Data & Analytics. You will be responsible for administrative day-to-day tasks and be asked to work independently and proactively to support the leaders and their respective teams. The candidate for this role will be highly organized, personable and professional with previous experience of working in a fast-paced administration role.

What you will do

 

  • Provide proactive and efficient administrative support to two Executives within Group HR: HR COO and Group Head of HR Technology, Data & Analytics
  • Be the key administration point of contact for key stakeholders across Zurich and with external contacts for the HR COO office, and interact with stakeholders in person, by phone and by e-mail efficiently, promptly and accurately
  • Manage the respective calendars proactively, resolve issues and coordinate actions within the defined delegated authority (e.g., management of meetings/workshops, calls and follow up actions)
  • Plan any business travel and organize/ coordinate the necessary agenda, briefings and documents needed while travelling
  • Process select invoices/expenses within the relevant deadlines
  • Professionally help design and develop MS-Office material (i.e. PowerPoint presentations, Excel files and graphics) for regular and ad-hoc meetings, discussions, training sessions etc.
  • Support Group HR EA's during periods of PTO and absences
  • Take responsibility for ad-hoc projects, initiatives and communications as appropriate
  • Maintain strict confidentiality in all matters

 

What you bring

 

  • Commercial Business school diploma, KV or equivalent
  • 5 or more years of experience as an Executive Assistant
  • Strong proactiveness
  • Excellent planning and organization skills
  • Effective communication skills and good client-orientation are very important
  • Experience in structuring and prioritizing work in an international team environment  
  • Fluency in English (spoken and written), German is an advantage 
  • Empathy, discretion and capable of handling highly confidential and sensitive information 
  • Ability to develop and maintain effective working relationships with multiple stakeholders from various cultural backgrounds
  • Dynamic and accountable way of working with a mindset of thinking ahead
  • Strong MS Office skills
  • Advanced PowerPoint skills strongly preferred
  • PMO or Project Management experience is an advantage
