Haute Route Project Coordinator

**Key Responsibilities**
- The Project Coordinator is responsible for supporting the Project Manager in the delivery of the events by coordinating between the internal team, on-event team (contractors and suppliers) and host venues. He/She will be responsible for supporting all the Haute Route staff, at the office or on event, to fulfill their missions in the best possible conditions.
- Strong inter-personal skills, ability to exchange with external partners (public authorities and suppliers), empathy and willingness to help others, team leadership and good organisation skills are central to this role.
- This will involve, but is not restricted to, the following:
**Internal Logistics**
- Management of the Internal Logistics for the different events in direct contact with suppliers: hotel bookings, rooming list management, car rentals, etc.
- Be the daily point of contact for on-event staff: contracts, expenses, transportation, etc.
- Manage the preparation of presentations, staff roadbooks, printing and postage.
- Provide regular reports to the Project Manager and key stakeholders as appropriate.
- Produce the specifics and manage the relationship with catering companies for on-event riders and staff meals.
- Budget management as relevant.
- Document best practices and processes to keep up to date for potential franchised or licensed events in other continents.

**Event Coordination**
- Manage the relationship between the host venue and the Haute Route team for the Haute Route Ventoux.
- Produce and share with the venue the Haute Route requirements documentation.
- Be the daily point of contact for the host venue coordinator, keeping up to date the requirements documentation.
- Liaise as necessary between the venue and Haute Route departments (Athlete Experience, Communication, Marketing).
**Personal Specification**:
**Skills** **and** **competencies**
- EU or Swiss National
- A passion for sport and knowledge of endurance sports and cycling in particular is an advantage
- Good knowledge of Microsoft software is essential and especially Excel
- Ability to manage own workload to set deadlines and management of others in team as relevant
- Fluency in English and French (either native or strong command) is mandatory, additional languages would be an asset (especially Italian, Spanish or German)
- Ability to manage external suppliers and managing budgets
- Good reporting skills
- Ability to work on-site at events throughout the year
- Good communicator with ability to lead and motivate a team
- Creative problem solver and willing to try new things
- Determined, resourceful and resilient
- Able to work under pressure
- Enjoys regular travel and working in new and sometimes challenging locations, even at week-ends and during the summer
- Be used to a ‘project’ based lifestyle
- International awareness, sensitivity to foreign cultures and sufficient etiquette and presence to work with high level local government stakeholders
- Great sense of humour which carries through under pressure
- Excellent organisational skills and self-motivated personality with the ability to work to tight deadlines, cope with event pressures, and manage their own time effectively, who can work well within a small and hard-working team
- Car driving license is mandatory (B category). Being comfortable driving a truck is a bonus (20m3).
This role requires travel to national and international events.
