Job Description
The Project Coordinator must be an energetic, proactive, self-motivated, and innovative individual that can demonstrate successful document and project control skills, assisting the Project Manager in delivery of small
- to large-scale capital design and construction projects in biopharmaceutical, pharmaceutical, and other advanced technology markets. This individual must possess the skills required to successfully assist the Project Manager in developing and executing project tasks and deliverables at the direction of the Project Manager, be a collaborative team player, and have a strong drive to deliver quality documentation to customers. This role will assist with directing and coordinating with internal and external architects and engineers; and will interface with clients, construction managers, subcontractors, and vendors. Project size will vary and will consist of both existing building renovations / retrofits and new construction. The Project Coordinator will have proven ability to handle multiple complex tasks and have business and personnel management skills including the ability to establish and manage priorities.
- Scheduling and coordinating both internal and external meetings for the CRB and client/project teams, including meeting resources, meals, etc.
- Assisting Project Manager in leading internal and external project team meetings, generating and issuing project monthly reports, including budget, spend and earned value tracking with project manager and discipline leads
- Attending design and construction meetings as needed; preparing meeting minutes, action item lists, etc., and distributing them accurately and timely as directed by the Project Manager
- Assisting with the development or management of contract documents, subconsultant agreements, project execution plans (PEPs), resource plan, schedule, invoices, fee spreadsheet and earned value tracking tools.
- Assisting with defining and communicating to the team project and document control procedures based on CRB internal and client needs
- Managing overall project deliverables in accordance with the PEP, budget, schedule, and the CRB Quality Plan.
- Managing post construction documentation deliverables and tasks such as submittal reviews, RFIs, ETOPs and reporting of such.
- Assisting with directing weekly and day-to-day activities of project technical staff and administrative staff to ensure high quality and timeliness of deliverables
- Scheduling and coordinating travel for project personnel
- Other duties as may be reasonably requested by management
Qualifications
- University degree a plus but not required if experience is substantial
- 5-10 years of demonstrated success in document control and project control experience required, much of this preferably in a design firm setting
- Experience in pharmaceutical, biotechnology, or advanced technology projects preferred
- Intermediate to advanced proficiency with MS Office 2013 and PDF software required
- Proficiency with traditional project controls database tools and methods required
- Ability to communicate openly and effectively both verbally and in writing
- Exceptional time management skills
- Valid work permit for Switzerland/Germany or able to obtain a permit
- Language(s): Fluent in German (C1+) and ability to communicate in English (B2+)
