In this role, you will execute a diverse range of activities, including parts of the admin processes, supporting office management, and event support. With your organized and hands-on approach, you will support the finance administration and ensure that Wingtra stays a great workplace by supporting the office ambiance, goodies, events, etc., and have the chance to improve them continuously. You will also be the first point of contact for external and internal business partners regarding the administration and office. You will be working with two finance managers, the VP Finance, and have regular exchanges with the people operations team.
**Responsibilities**:
- Support the two Finance Managers, VP Finance and the Wingtranauts, in general, administrative and logistic work
- Be responsible for tasks like managing accounts payable and receivable, organizing the payment run with external fiduciaries and direct payments locally and internationally
- Check expenses, issue invoices on behalf of Wingtra
- Manage accounts for employees and support administration in the onboarding process
- Be responsible for office-related processes: ordering food, and ensuring that there is enough equipment, laptops, etc. Receive the post and go to the post office.
- Being in charge of internal and external merch products, managing the stock as well as preparing for new starters
- Support company-wide events and initiatives and liaise with our colleagues abroad
- If performance and time allow, support the finance function with more advanced tasks and take over more complex projects/tasks
**Requirements**:
- 1-2 years of experience in administrative work, accounting and/or office management
- Business fluent in English and German
- Very reliable, well-organized, and diligent
- Strong sense of responsibility and an open eye for tasks that can be done, including checking the office and helping to ensure that we have a nice working environment
- Enjoy having continuous communication with Wingtranauts and business partners
- Positive and get-things-done attitude to the job
**Plus**:
- Commercial (kaufmännisch) apprenticeship/training / similar education
- Understanding of IT basics
- Understanding of Accounting basics, excel/google sheets
- Experience in managing more complex projects
